Episode 399 – Does Your Cleaning Company Need a Fancy Operations Manual?

Many people look at operations manuals as a great resource for their company, but are terrified by the idea the task of actually creating one. This even causes some people to buy into franchises as they see the task of creating their own too daunting. That’s why today Mike is here to talk all about operations manuals, and how to start thinking about creating your own before giving away your revenue to a franchise.

As always, it’s important to start from the bottom, at the foundation. As there are always unpredictable things that can happen at a moments notice, you need to have strong core values throughout the entirety of your company. This means that all of your employees should be well versed in your core values so that if a situation does arise that is not in the operations manual, then they will know how to handle it. This of course also means that your operations manual should be based solely around your core values. Operation manuals and systems won’t help if it isn’t consistent, and if you don’t have specific reasons that guide all of your systems and operations. It’s also important to put something out there. You will never get the perfect operations manual if you don’t start somewhere. The quicker you put something out, the quicker you can improve it.

Now let’s get into some tips to help you create an effective Operations Manual. For starters, we’re going to focus on the best platform to use. It’s a good idea to have your operations manual online for example Google DriveTrainual or Trello. It’s also a good idea to have both written and video files. Written is good because it is printable, where video is good because you can explain a lot of information quickly. It’s important to have your Operations Manual online so that it is easy to edit as well.

Another thing that is important to remember is that your Operations Manual isn’t there to cover every situation that could possibly arise. This is another spot that your core values really come into play. As long as your employees know your companies core values they can make their decisions based on that. This can be very helpful with peace of mind and help you to trust your employees with your company so that you can spend more time focusing on the ‘big picture’ parts of your company, or just spend more time with your family.
